What is ILLiad @ H?

ILLiad @ H is our interlibrary loan (ILL) and document delivery management system. We work with libraries across the country to try and obtain items for you that you can't find here at Harrison Libraries and also provide PDF copies of many articles and book chapters on our shelves, a part of our service we call ScanIt @ H. Within ILLiad @ H you can place requests, check their statuses, view electronically delivered documents, track due dates, and submit renewal requests. It can be accessed from the ILLiad @ H logon page.

Who can use ILLiad @ H?

Current faculty, staff, and students and Emeriti faculty can place requests. Alumni, Guest Borrowers, and members of the local community should use their public libraries for interlibrary loan.

What types of material can I ask for?

You can request loans of books (ebooks are often unattainable through ILL, please contact us at ill@hartford.edu if you're looking for this format), music scores and parts, theses, sound recordings, videos or microfilm.

Exceptions: titles that are required for class, items that Harrison Libraries has on the shelf, including Reference and Course Reserves materials, and entire volumes or issues of periodicals. If we see that you've asked for the loan of something that's available here, we'll email you to let you know where you can find it.

You can also request scans of book chapters, journal articles and conference/proceedings papers, including those available at Harrison Libraries.

Exceptions: chapters from titles that are required for class or outside the bounds of copyright guidelines we adhere to (usually one article per journal issue or one or two chapters from a book.) Please note that it may take us up to 5 business days to fill requests to scan locally held items and that we have a 50 page scanning limit. If you've requested a copy of something that's available here that we can't scan, we'll email you the call number and location so that you can visit the library and use one of our scanners or photocopiers to make the copies you need yourself. How do I place a request?

Use the request forms within ILLiad @ H. Many of the databases that the Libraries subscribe to allow you to request material directly from where you're searching, just look for the "ILL this with ILLiad @ H" link that usually displays on the detailed record screen, where the citation or abstract you see is just about one item rather than a page of search results. Click the link to bring up the ILLiad @ H logon page, log in, and the information about the item will transfer to the request form so that all you need to do is click "Submit Request" at the bottom of the form. You'll see a transaction number appear, and the new request will show under Pending Requests.

If you're not searching in a database or if the database you're using doesn't display the "ILL this with ILLiad @ H" link, log in to your ILLiad @ H account and click "Request Items" at the top to access the request forms. Choose the request type that best describes what you're looking for, complete as many fields as possible (including all of the required ones marked with an asterisk), and click "Submit Request". A transaction number will appear, and the new request will show under Pending Requests.

Is there a charge for requesting material?

Harrison Libraries doesn't charge patrons for placing requests and can get most items for free. If no freely lending libraries can send us what you need, we'll cancel the request and notify you so that you can then decide whether or not you'd like to pay to obtain it through interlibrary loan from an institution that charges a lending fee.

How many requests can I submit and how long will it take for them to come in?

You can have 25 active requests at a time (please contact us at ill@hartford.edu if you believe you need more and we'll try to accomodate you) and we make every effort to process up to 5 per patron each business day.

On average, copies are available within 4 days of processing and books and scores are received within 10, but because delivery times are dependent on many variables, we recommend you plan ahead when placing requests and allow up to 3 weeks for them to arrive. If you have an immediate need for material on a certain topic, please speak to a member of our library staff--they may be able to help you find information here or at a nearby library so that you don't have to wait for a request to be filled.

How will I know if a requested item has arrived and where do I go to get it?

We'll send you an email when your request is available. Loans can be picked up at the Mortensen Library circulation desk and are held for you for two weeks before we return them to the lending institution. Let us know if you need more time before you can stop by, we can almost always work with you and hold the item longer.

Most articles and chapters can be accessed through your ILLiad @ H account under Requests Posted as PDFs. Click the "View" button to open. We recommend that you print them as soon you receive them since they'll be removed from our server after 30 days to help us comply with US copyright law. Occasionally we receive articles that can't be posted online, and these are held at the circulation desk for pickup (or mailed to faculty and staff offices) and are yours to keep.

How long can I use my interlibrary loan?

Loan periods are determined by the lending libraries and can range from weeks to months. Find the due date in the email we send to inform you that an item has arrived, on the pink slip that accompanies a loan, or in your ILLiad @ H account under Checked Out Items on the Main Menu. Please return interlibrary loans and their paperwork to the Mortensen Library circulation desk or the Interlibrary Services office on or before the due date.

Can I renew my interlibrary loan?

Items can usually be renewed one time, but we have to check with the lender before we say yes. As a courtesy, we automatically request renewals for items that are eligible that are approaching their due dates. You can also place a renewal request on your own within your ILLiad @ H account from 7 days before the due date up until the day that the material is due. Click "Renew" next to the title listed under Checked Out Items; if the item can't be renewed or has already been renewed, "Renew" will be grayed out and the material needs to be returned. Once we've received a response from the lending library we'll email you to let you know and update the due date in the system--please feel free to hold on to the loan until you hear from us.

What happens if my loan becomes overdue?

Due dates must be honored so that we're able to borrow items from the same libraries in the future. If you repeatedly return material after the due date, we may restrict your use of interlibrary loan requests to within the Libraries. ILLs that are returned extremely late will be billed as lost items through the Bursar; a minimum of $100 plus a nonrefundable $15 processing fee will be charged to your University account and future interlibrary loans will be automatically restricted to library use only.

Are there any copyright restrictions on requests I place?

Yes, US Copyright laws apply to items the library obtains for you. Copies of articles and chapters can't be posted elsewhere or distributed to others, books and scores can't be copied in their entirety, and audiovisual materials can't be burned or reproduced. Please note that we are prohibited from filling requests for multiple articles from a single journal issue or a large number of chapters from a single book for an individual patron. How do I search for a particular request?

Enter a keyword, name, or transaction number in the search box and click the search button.

How do I cancel a request?

Locate the request you'd like to cancel under Pending Requests on the Main Menu. Click "Actions" and choose "Cancel Request". You can also contact the Interlibrary Services office at ill@hartford.edu.

What should I do if I forget my username or password?

Your username is on file at the Interlibrary Services office; if at any time you forget it, contact us at ill@hartford.edu and we can find it for you. If you forget your password, you can reset it online by clicking "Reset Password" on the ILLiad @ H logon page. After you enter your valid username, the system will send an automated email to your inbox providing a link that you can use to reset your password and log in to your account. If you don't get an email, you may be using an old username and should contact us for help.

What if my contact information or status changes?

You can edit the information you gave us when you registered by logging in to your account and clicking "Update Profile" under "Profile".

What if I am teaching or learning remotely and don't live near the library?

We encourage you to use your local library's interlibrary loan service for books, scores and media whenever you can because you'll probably get your material sooner, however, when that isn't possible we'll gladly mail items to your home. Contact us at ill@hartford.edu to discuss your needs.

How can I keep my account secure?

Click "Logoff" when you're finished working in ILLiad @ H. You can also clear the history file before closing your browser.
